VIP events and celebrations on a private yacht

The fare holds the yacht, the crew, the day's meals and the route. Decoration, a special dinner, a cake, flowers, a musician, a photographer and a drone are each arranged on request and quoted in writing before you pay; a drone needs a park permit.

Alcohol sits outside the fare as well. The services page lists each item, and the quote names every line the host has asked for, so the evening on board matches what was ordered.

Suite assignment for a host and fifteen guests. The host and partner take the master suite: Borobudur on Voyage 2, the upper-deck king suite with the only jacuzzi balcony, or Paris on Voyage 1, the main-deck queen suite with its own jacuzzi balcony. The rest are placed by relationship: couples together, siblings in neighbouring suites, and anyone who should be on a different deck placed there.

Voyage 2 sleeps 16 on king and queen beds, 8 suites × 2 = 16, and has no extra beds. Voyage 1 sleeps 16 only with every extra bed in use: six suites at two make 12, and Osaka, Athena and Bern add 1 + 1 + 2 = 4, so Bern holds four. Where sixteen guests include couples who each want a bed of their own, Voyage 2 is the simpler fit. The bed tables are on the suites page.

Everything turns on one fact. About 15 minutes after sunset the flying foxes leave the Kalong mangroves in a long stream that lasts roughly 30 minutes, and the party watches from the yacht, which is in place before the sun is down.

Sunset at Kalong falls between 17:49 and 18:27 through the year, and 17:57 in July. Dinner is on board. Where on deck the party gathers is the captain's call, taken on the day according to the anchorage and the wind.

Kalong is on day 1 of the 2D1N, 3D2N and 4D3N routes, and not on the day charter, which has no night. A speech or a short film should be flagged in the brief, so the evening can be shaped around the hour of the bats.

At 16, the second band of Voyage 2 spreads one rate across more guests. Decoration, the dinner and the photographer are not in these figures. Park tickets, flights and gratuities are paid on top.

An event needs the longest brief of the five occasions, though the first message need carry only half of it.

• The guest list, with ages and diets.
• Who must not be seated together, and who must.
• Arrival flights, so the pickup in Labuan Bajo covers every guest.
• Any speech and its hour.
• A photographer or drone, with the permit that goes with it.
• The date, and the dates you can move.

July is busy, a peak month for crowds, with windier water. Send the date as soon as you know it; a 2027 date is quoted at the 2027 figure, sent before any deposit.
