Privacy policy

A private charter file holds the guest list with names as printed on the passports, and a copy of each passport page for the sailing permit. It holds contact details for the person who books and for the person who is met at the airport, the dietary and medical notes you send so the crew can plan, and the messages you write to us.

We collect these because a booking cannot be made without them. We ask for nothing else: no marital status, no occupation, no photograph of the guests. A first message needs none of it, and the occasion and the headcount are enough to start.

Medical notes are used for the crew and the pickup and for nothing else. Send only what the crew needs to know.

When you write to us on WhatsApp, we receive your phone number, profile name and the content of your messages through the WhatsApp Business service of Meta Platforms. The conversation can be mirrored into the office's own records so that the person who answers sees the history. No fixed retention period is applied to that history, and a deletion request removes it from our systems.

Site statistics and ad measurement run only with your consent, given through the consent banner on this site, and you can withdraw it later. For ad measurement we share an email address or phone number only after it has been irreversibly hashed, together with technical click identifiers, with Google and Meta, to measure whether an advertisement led to a message. If you decline, the site works the same and the price is the same.

We make no claim of special protection for this data beyond what the law and ordinary good practice require.

Three kinds of provider handle it for us: the messaging service, the payment services listed on the booking page, and email. Some message text can be processed by an AI service to help our team understand a request and draft or route a reply. A person decides everything that matters, including the quote, the booking and any refusal.

Regular backups of the booking records are kept in a restricted storage folder, and older backups are removed. Data is not sold. The guest list is shared with the yacht's crew and in the sailing permit only as far as the sailing requires.

Indonesian law requires us to keep invoices and payment records for a statutory period. Where your data is part of such a record we keep the minimum required and anonymise the rest.

Write to info@komodoexplorer.com, from the address or the phone number you used when you booked, and say what you want: a copy of what we hold, a correction, or erasure. Put "Data deletion request" in the subject line for the last.

We confirm that we have received the request, check your identity so that nobody else can erase your record, and then do what you asked or tell you which part cannot be done and why. Your own copy of a WhatsApp conversation stays on your device, and Meta keeps its own copies under its own terms; you manage those in WhatsApp.

The booking office is in Labuan Bajo, and PT Komodo Explorer Indonesia (NIB 1805260128363), is the party responsible for the data.
